BACKGROUND AND PURPOSE OF THE ASSIGNMENT: This position is located in the Global Privacy Office (GPO) of the World Food Programme Headquarters in Rome, Italy.
WFP is on a focused path towards digitally transforming how it operates and how it best serves those in need so that it can accelerate the goal of achieving zero hunger by 2030.
Data Protection is at the core of these services to make sure we protect the people we serve.
Under the supervision of the Senior Project Manager, the incumbent will provide technical and operational support as part of the WFP Global Privacy Office and will play a role in the roll out of WFP's Privacy Program across all division-wide organization.
As Business Analyst/Project Manager, the incumbent will support multiple initiatives, where the development has already taken place; he/she will be expected to manage the day-to-day delivery by working with a broad range of colleagues, partners and internal stakeholders.
MAIN ACCOUNTABILITIES/RESPONSIBILITIES: - Planning and Coordination: Assist in project planning activities, including defining project scope, objectives, deliverables, and timelines.
Coordinate project meetings, prepare agendas, and document meeting minutes.
- Development and Deployment of Project Management Tools: Support the development and deployment of project management tools, including software applications and digital platforms, to streamline project workflows, enhance collaboration, and improve project tracking and reporting.
- Requirements Gathering and Analysis: Collaborate with stakeholders to elicit, analyze, document, and prioritize project requirements.
Ensure that requirements are clear, complete, and aligned with project objectives.
- Data Analysis and Reporting: Collect, analyze, and interpret project data to provide insights and support decision-making.
Prepare and present reports, dashboards, and status updates to project stakeholders.
- Risk and Issue Management: Identify, assess, and track project risks and issues.
Develop mitigation strategies and contingency plans to address potential problems and ensure project success.
- Quality Assurance and Control: Support quality assurance activities to ensure that project deliverables meet stakeholder expectations and quality standards.
Conduct reviews and inspections to identify defects and areas for improvement.
- Change Management Support: Assist in managing project changes by assessing impacts, evaluating alternatives, and communicating changes to stakeholders.
Support change implementation activities to minimize disruption and maximize adoption.
- Documentation and Knowledge Management: Maintain project documentation, including project plans, requirements documents, meeting minutes, and other project artifacts.
Establish and maintain a centralized repository for project-related information and knowledge.
- Stakeholder Communication: Facilitate communication and collaboration among project stakeholders, including team members, sponsors, and external partners.
Respond to inquiries, address concerns, and foster positive relationships to ensure project success.
- Continuous Improvement Initiatives: Identify opportunities for process improvement and efficiency gains within the project team.
Propose and implement changes to streamline workflows, optimize resource allocation, and enhance project outcomes.
- Training and Support: Provide training and support to project team members on project management methodologies, tools, and best practices.
Foster a culture of continuous learning and professional development within the project team.
- Administrative Support: Perform administrative tasks as needed to support project operations, such as scheduling meetings, arranging travel, and maintaining project documentation.
- Perform any other related duties, as required.
SPECIFIC QUALIFICATIONS & EXPERIENCE REQUIRED: Education - Advanced university degree in relevant discipline (including but not limited to business administration/management, project management) or related field with relevant work experience.
- Certification in project management (e.g., CAPM, PMP) is a plus.
Required Experience - At least 3 years of responsible professional experience in Project Management related roles, preferably in a TEC/Consultancy firm and/or large public/private sector organization.
- Proven experience in a business analysis, assistant project management or relevant role.
- Experience in developing and deploying project management tools and software applications.
- Experience working in a global, large-scale, complex, and fast-paced environments.
- Experience in roles that demand accuracy and quality, prioritization and execution against timelines.
- Experience working autonomously with minimal supervision and as part of a team, well as to cooperate within a team, across different regions and time zones.
Knowledge & Skills: - Strong analytical and problem-solving skills.
- Excellent communication and interpersonal skills.
- Proficiency in project management software and tools.
- Knowledge of project management methodologies (e.g., Agile, Waterfall).
- Ability to work effectively in a fast-paced, dynamic environment.
- Attention to detail and commitment to quality.
- Strong organizational and time management skills.
- Ability to collaborate with cross-functional teams and stakeholders.
- Ability to contribute to large cross-functional projects - Strong analytical interpersonal, communications and presentational skills.
- Excellent drafting skills with the ability to write concisely and synthetize information from a variety of sources.
- Knowledge of Data protection, Privacy and Information Security regulations, international security standards and specific key legal issues, is desirable.
- Demonstrated, cultural sensitivity and diplomatic skills; - Ability to work harmoniously with people of different national and cultural backgrounds; - Ability to plan and organize work programme with pre-defined reporting lines; - Effectiveness orientation and pro-activity; - Strong sense of responsibility, confidentiality and accountability.
Languages: - Fluency (level C) in English language.
- Intermediate knowledge (level B) of a second official UN language: Arabic, Chinese, French, Russian, Spanish, and/or WFP's working language is desirable.
