About the Role We are offering a fantastic opportunity to join our dynamic team in Rome as an Administration and Office Manager.
This role is ideal for someone with experience in international organisations, government agencies, or national institutions.
The successful candidate will play a pivotal role in ensuring efficient office operations, supporting compliance efforts, and managing daily administrative functions.
Essential Qualifications:Fluent in English and Italian (spoken and written).Extensive and proven experience in office administration, office management, compliance, license renewals, and general administrative support.Proven experience assisting Compliance Officers in areas such as Import/Export, Health & Safety, Privacy, and Contracting.Knowledge of local compliance regulations and procedures.Strong organizational and administrative skills.High degree of discretion and professionalism. Required Skills, Qualifications and Experience General Administrative Support:Provide comprehensive administrative and secretarial support for daily office operations.Handle scheduling, planning, organizing, staffing, budgeting, and communication tasks.Solve office-related problems efficiently and proactively.Administrative Oversight:Supervise and coordinate administrative staff to ensure smooth and efficient operations.Develop and implement office policies and procedures aligned with Lockheed Martin (LM) standards.Oversee administrative activities, ensuring compliance with Lockheed Martin Global Inc. (LMGI) requirements.Office Operations:Organise office layouts, ensuring secure areas for sensitive information.Maintain office facilities and ensure adherence to LM regulations.Manage office access, field calls, assist clients, and coordinate meeting spaces.Oversee physical and digital archiving processes.Arrange travel and logistics for staff and visitors.Support meetings with Lockheed Martin and customer representatives, including preparation of materials and presentations.Assist with logistics and agenda planning for senior leadership visits.Coordinate with landlords, building services, and maintenance suppliers.Manage official company email accounts and liaise with local administrative and legal consultants.Support Compliance Officers in Import/Export, Health & Safety, Privacy, and Contracting matters.Oversee renewal of licenses and ensure compliance with all applicable regulations.Financial Management:Develop and manage office budgets, monitor expenditures, and prepare financial forecasts.Process invoices, purchase orders, and other financial transactions, ensuring compliance with LM rules and relevant EU and national laws.Maintain accurate financial and legal document archives.Manage local office contracts, including sponsorship agreements and related financial processes.Additional Support:Organise events, exhibitions, and sponsorship activities, including liaising with organisers, managing logistics, and coordinating suppliers.Support onboarding processes for new hires, ensuring compliance with LM safety and security protocols.Provide administrative support for LMGI compliance requirements.
