PURPOSE OF THE JOB: We are looking for a Receptionist Intern who will join the team based between Bioggio and Stabio. The role will manage and support all activities related to the Reception area, being at the disposal of all Guess Departments for any kind of support.
CORE JOB RESPONSIBILITIES Welcoming, registering, and assisting external visitors (clients, suppliers, candidates, agents). Answering incoming calls, both national and international, managing the switchboard in an appropriate manner by ensuring that all messages are recorded and forwarded accurately. Receiving incoming post and distributing it to the staff accordingly. Meeting room reservation and coordination, ensuring relevant equipment is onsite, and organizing room layout and any kind of support that is required. Organizing and recording all courier bookings in accordance with the company policy, managing the related documentation (bulletins, proforma invoice, etc.). Ensuring that the Reception area is kept tidy and well presented at all times. Supporting Mr. Paul Marciano's requests when in Lugano. Supporting their direct manager and other departments during Corporate Events organization (Line Opening, Townhall, Fashion Show, REM, OWOB, Christmas Party) as part of the staff and/or hostesses. Supporting Executive assistants and Departments in administrative tasks upon request. Assisting Showroom sales associates in the organization of hospitality (refreshments, catering, etc.) for clients and partners. In coordination with the Travel Office, organizing car services for external guests upon request. Managing and sorting emails coming from clients, suppliers, and candidates through the 'info' email account. Supporting the HR office when special initiatives are organized (e.g., crazy sales Evites distribution, daily sending Happy Birthday emails with Guess gift vouchers to employees celebrating their birthday, welcoming candidates and assisting them in filling the application form before the interview). Constantly coordinating with the General Services office in supporting activities such as internal distribution of inbound parcels, parking management for employees and guests, orders for water and coffee supplies, and distribution and collection of company car keys. Requirements Bachelor's degree or Diploma in Languages, Communication, or a similar field. Excellent knowledge of English and French. Passion and attitude in the fashion field. Flexibility and a high level of cultural sensitivity. Excellent oral and written communication skills. Good interpersonal skills: being polite, a good listener, always smiling, and possessing excellent customer service skills. Ability to meet people's needs and find solutions in a timely manner. Ability to relay information to others, interact, and communicate well at all levels of the company organization with tact and diplomacy. Precise with strong attention to detail. Critical thinking skills using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems. Good judgment, proven responsibility, and trustworthiness in handling confidential information. Well organized, with the ability to handle multiple tasks simultaneously in a fast-paced environment, set priorities, and work both independently and in a team environment.
