About the Role Description of the role: Our Italy Facility functi on acts as a driver of integration across our different businesses, operating across four central principles: local Facility function provides subject matter expertise.

Key Activities Completing tasks by the end of the day/month and year according to the plan and in accordance with instructions for assigned area of responsibility by senior Facility supervisor.
Manage day-to-day tasks – checking office conditions and assigned new tasks if any.
Reporting to Facility Manager and Corporate & Head of Finance.
The goal is to contribute to the overall efficient operation of Facility function of Kuoni.

Daily Activities: Keep reception area clean and in order.
Check offices security.
Welcome Customer and Supplier or other Guests.
Get the incoming calls.
Ordering, storing, and distributing stationery.
Inventorying stationery Arranging shipment travel documents to Customers Book meeting rooms Additional PTP indexing activities: Manage day-to-day tasks – checking invoices from suppliers, initial data input.
Communication with suppliers on behalf of the company in proper business style and professional manner Timely preparation of assigned reconciliations with local suppliers.
Provides timely and accurate information to Destination office on invoices payment status.
Weekly Activities: Inventory and distribution of computer equipment Recording and archiving of IT delivery receipts Organising recovery and return of tourists forgotten items.
Checking and replenishing printer toners Control and replenishment of hot drink and snack dispensers, contact with service for maintenance.
Contact the office maintenance technician when needed.
Monthly Activities: Ordering e distributing business cards Organisation and participation in training courses for health and safety at work Participation in the firefighting and first aid team Check and replenish first aid kit.
Yearly Activities: Contacting twice a year maintenance technician to check and verify the efficiency of fire extinguishers and fire safety systems.
Organize and manage yearly medical examination for staff according to the Italian law Creation of excel files for the inventory of materials, updating of medical examinations and organisation of company courses Contacting the toner collection service twice a year to arrange the pick-up of waste cartridges.
