Job DescriptionBased at our Como site, this part-time role reports directly to the Project/Property Manager and will provide efficient administrative support to Property team. The role will predominately involve the scheduling and coordination of property and maintenance requests, ensuring the seamless and timely resolution to the Meath Community maintenance needs.
The position is being recruited to work 5.5 hours a day, Monday to Friday, from 8am/8.30am to 2pm/2.30pm.
Desired Skills and ExperienceThe successful applicant for this position will ideally have experience with a similar role or can demonstrate their ability to learn quickly the needs of this new created team and role. The capacity to work independently and in collaboration with other team members to ensure efficient scheduling, coordination and administration duties are maintained is critical in the position. The ability to communicate effectively with all stakeholders, including managers, staff, and residents will see the candidate succeed in this role.
The responsibilities of the Property Scheduler/ Administrative Assistant includes:
Be first point of call and support to the Meath Community for all property and maintenance requests. Coordinating, scheduling, and assigning maintenance requests tasks to the right maintenance officer and/or contractor for action with the use of eMR (the property management system) in a timely manner. Under the direction of the PPM, manage the progress of cyclical work across Meath Care sites, ensuring that progress and delays are communicated with the Property Manager, and other stakeholders as necessary. With support from PPM, ensuring that maintenance reports are reviewed, and any additional works required are scheduled and completed. Liasing with relevant managers, employees, and contractors regarding job progress and other general property issues. Organising and coordinating the Properties team and contractors to undertake property tasks in a timely and professional manner. Provide administrativeassistance to the PPM and Properties team to ensure the seamless resolution to maintenance requests and proactive management of property assets. The applicant must hold or be willing to obtain a current police clearance (no older than 6 months).
