To support the project management in the delivery of distinct projects across Europe, which require an enthusiastic, highly motivated individual who can work autonomously and as part of a team.
The Project Coordinator/ Outreach will be required to work with various organisations from the Education sector, Local Authority and other EU and Commercial Partners.
The post holder will need to deliver effective, highly competent project support and consistently deliver in a person-centered environment which promotes positive relationships.
The Project Coordinator/ Outreach will be required actively approach new project partners on a daily basis.
DUTIES AND RESPONSIBILITIES
- To undertake duties as directed/requested by the Project manager to support the delivery and Implementation of distinct projects;
Recording in CRM any out-reach, visits, meetings, seminars; load quotations.
To meet the minimum number of calls per hour
- To manage & search placements over busy time (support of WE);
- To support cultural trips, and activities when required
- Responsible for the full cycle of documents - from lead to raising an invoice & chasing payment.
During the project period time occasionally you might travel when required Present reports defining project progress, problems and solutions
Implement and manage project changes and interventions to achieve project outputs Coordinating project documents
- Coordinating groups arrival, departure and arrangements
- Handle requests for information and data
- Prepare written responses to routine enquiries
- Schedule and coordinate meetings, appointments
- Prepare agendas for meetings and prepare schedules
- For European projects where ENSO is a delivery partner, work with project managers to prepare accurate formal statements of expenditure and / or financial reports for submission to the funding body according to the requirements of the grant funding agreement
- To have an understanding of the contractual requirements of each project according to the specific funding rules and provide project managers of new EU projects with a 'requirements' guide.
- To own and maintain a filing system for hard copy supporting evidence of expenditure, e.g.
receipts
- To collect and submit additional supporting evidence as required by the grant funding agreement and / or coordinator, for example, timesheets, evidence of defrayment of costs, invoices etc.
- To carry out project-specific tasks - e.g.
management of external travel budgets or other funds.
- Due to the nature of our business, some flexibility may be required within the role in terms of working hours_
