The Personnel Administrator is responsible for managing administrative activities related to employees and collaborators, ensuring compliance with current regulations and company policies.
This role supports the organization through the management of reimbursements, expense reports, organizational chart updates, and workplace safety, among other activities.
The Personnel Administrator must have strong knowledge and skills in administrative, tax, and accounting fields.
Their competencies also extend to the basics of labor law and workplace safety regulations.
Responsibilities and Duties REIMBURSEMENTS AND EXPENSE REPORTS: Collects necessary information for mileage reimbursements and calculates costs according to current regulations; Collects, verifies, and reimburses expenses incurred by employees during work activities, and records them in CO.GE.
and CO.AN.
ADMINISTRATION AND ACCOUNTING: Enters data related to hiring, terminations, contract changes, fee and salary adjustments in the personnel sheet; Manual attendance management; Accounts for holidays/leave and overtime; Issues and deactivates access control badges; Records monthly salaries, severance pay (TFR), and projected deferred charges; Controls accounting and manages F24 payments.
CORPORATE WELFARE: Activates new welfare positions; Controls and verifies the monthly statements of the employee welfare fund; Manages corporate welfare initiatives and monitors funds.
WORKPLACE SAFETY AND LAW 81 MANAGEMENT: Collaborates with the RSPP manager for worker safety, manages safety documentation, and organizes safety courses; Manages and organizes company medical visits with the Competent Doctor.
CONTRACTS AND RELATIONS WITH COLLABORATORS: Prepares and manages documentation related to employment contracts; Manages freelance workers' placements (ex-enpals); Collects and verifies freelance invoices, monitors payment dates and completed projects; Provides information and manages contracts with freelancers, contract renewals, and communication with the Labor Consultant; Welcomes new hires and manages documentation related to signatures and privacy; Manages internships, apprenticeships, agreements with schools and universities, and contracts with freelancers.
DOCUMENT AND ADMINISTRATIVE MANAGEMENT: Manages the attendance register for internships, verifies funding, scans and archives documents; Manages projects and tenders for protected categories; Manages any registers and archives related to labor regulations; Handles apprenticeship entities, CVs, Unilav, and hiring documentation; Manages extensions.
Commits to acting in accordance with the company's core values, thereby contributing to fostering a positive and collaborative work environment.
Previous Work Experience and Education Degree in Economics, Law, Political Science, or related fields; A Master's or specialized post-university training program is a plus; Minimum 2-3 years of experience in administrative roles, preferably in personnel management and the Audiovisual Entertainment Contract sector.
Requisiti Thorough knowledge of current labor and safety regulations; Skills in accounting and administrative management; Excellent command of IT tools and management software (e.g., CO.GE., CO.AN.
); Organizational skills and attention to detail; Good communication and interpersonal skills; Ability to work in a team and manage multiple activities simultaneously; Problem-solving and proactivity in improving business processes.
