In preparation for a major global sporting event in Italy in 2026, reporting to the Operations Director (UK), the People & Recruitment Manager will manage all HR & Recruitment processes in the iLUKA Italy office as well as supporting our overseas offices. This role will consist of daily general HR duties and a big focus on managing the recruitment, selection, and delivery of an event workforce to populate operational teams in all areas of the company's functional business units. This is a contract role starting in January/February 2025 until March/April 2026.
Key Responsibilities
Manage all HR employee documentation, including design and development where necessary, including role specifications, newsletters, and joining instructions. Prepare employee contracts based on a template. Answer HR queries. Conduct new hire orientation and local onboarding. Liaise with IT and Finance to enroll new starters. Review and authorize monthly payroll. Manage local requirements for expatriate employees including rent, Visas, and relocation. Maintain employee benefits programs and inform employees of benefits. Ensure planning, monitoring, and appraisal of employee work results by training managers to coach and discipline employees; scheduling management conferences with employees; hearing and resolving employee grievances; counseling employees and supervisors. Ensure legal compliance by monitoring and implementing applicable human resource requirements; conducting investigations; maintaining records; representing the organization at hearings. Participate in the development of strategic recruitment plans aligned to meet the resourcing and accreditation needs of all functional areas. Effectively track and monitor recruitment progress against plans. Assist in the development and manage university attraction and recruitment strategy. Research, budget, plan and execute candidate assessment centres and interview schedules. Screen, interview and manage suitable candidates. Adhere to professional and legal confidentiality standards, company policies, procedures, and practices, maintaining the highest level of integrity regarding candidate data management and client confidentiality. Communicate effectively with all colleagues, participate in project team meetings as required and necessary client/organising committee meetings. Compile recruitment contingency plans covering candidate withdrawal, increased resource needs, and other potential changes to resourcing needs. Assist in developing and delivering training to programme teams on relevant areas, including accreditation, working time restrictions, payroll systems, etc. Guide and control accreditation procedures through relevant functional areas. Manage collation, accuracy, and format of employee information for submission. Ensure timely submission of accreditation requests. This is not an exhaustive list, and all team members will be expected to contribute to any other aspects of the business as necessary.
Skills, Knowledge, Expertise
Fluent in Italian and English. Previous HR and Recruitment Management experience. Previous experience in high-volume recruitment campaigns. Hospitality or sports event experience would be an advantage. University recruiting experience. Effective project management skills. Confident public speaking and communication skills. Strong planning, organisation, and time management - able to plan, set and achieve goals within defined deadlines. Advanced IT Skills, especially in Excel.
