About the Role Reporting to the Regional Operations Manager, Western Europe, the Operations Specialist plays a key role in ensuring the smooth functioning of G Adventures' tours, supporting both internal and external stakeholders. This role involves overseeing day-to-day operations to ensure a seamless travel experience for our CEOs (Tour Leaders), passengers, and supply chain partners. A significant part of the role focuses on financial accuracy, including verifying invoices, resolving discrepancies, and collaborating closely with the Finance department to reconcile expenses. Additionally, the Operations Specialist contributes to the optimization of existing itineraries and the development of new ones, ensuring both operational efficiency and financial integrity. This position is remote and requires residency in Italy. What you'll be doing Communicate any significant trip details to vendors, suppliers, CEOs and other relevant individuals in preparation for a trip. Monitor department email accounts as requested, actioning emails according to priority. Action technical questions from GCO's (Inside Sales department) concerning trips. Support the Reservations department with any aspects of a trip's required reservations, modifications and cancellations in a timely and efficient manner. Handle the region's finances including investigate and solve issues of incorrect invoices in a timely, and efficient manner. Identify problems in operations process and resolve them in a quickly and timely manner. Contribute to the enhancement of internal processes through identification, analysis, and implementation of efficiency and effectiveness improvements. Handle incidents and assist CEOs and/or travellers in a professional, empathetic and efficient manner. Ensure accurate validation of trip budgets. Contribute to the company performance and culture by fully embracing the G Adventures Core Values and promoting a positive and enthusiastic working environment. Assist the Regional Operations Manager in day-to-day coordination, and management of business operational activities. Help create customized trips upon request. Develop a thorough understanding of and capability in all Department administrational roles and tasks in order to provide holidays/sick cover. Help prepare for and assist with the CEO recruitment, training, and provide the CEOs with the needed support. Carry the Operations Emergency Phone on a rotational basis. Other duties as assigned by Regional Operations Manager. Desired Skills & Experience At least 2 years in the Tourism industry. Superior attention to detail and accuracy. Positive attitude and the desire to be part of a close-knit and effective team. Exceptional English written and oral communication. Experience in problem-solving and analytical thinking. In-depth regional knowledge of Western Europe, particularly France. Advanced organisational, time management and problem solving skills. Intermediate knowledge of Excel and general computer skills. Ability to adapt to an environment that is subject to constant change. Solid knowledge of the Travel industry and geography of the region. An understanding and commitment to customer service.
