The Operations Analyst (OA), reporting to the Senior Program Manager (SPM), will support the Operations Department researching lodging pricing, travel cost, and other drivers related to assigned contracts and task orders.
The OA will also prepare financial documentation related to monthly invoicing and assist task order leads with organizing receipts and other supporting documentation ahead of final reconciliation.
The SPM is seeking a talented self-starter with strong communication and critical thinking skills. The OA should be able to multi-task and prioritize multiple competing needs, ensuring all assigned tasks are completed in a timely manner while communicating potential barriers and offering solutions.
Priority will be given to candidates with a financial analyst or accounting background due to the number of related associate-level finance and accounting duties.
This is a 100-percent remote office environment.
Responsibilities and Duties
Review monthly budget and ledger reconciling forward cost as changes are reported in the number of project/task order support personnel, housing changes, travel, and related costs are added during the onboarding, transfer, and separation process of project personnel and trainees.
Prepare invoice support materials and documentation related to client billable costs including gathering receipts, redacting employee credit card receipts, and redacting CGS internal documents.
Research lodging arrangements and transportation costs related to project/task order requests for proposal (RFPs) to support the proposal process.
Secure documentation related to employee travel vouchers for the dual purpose of reimbursement to CGS or the employee and billing the client.
Gather, categorize, and document receipts from CSM Project credit cards directly from task order support leadership for the purpose of CSM project-based credit card reconciliation.
Services are provided as an overnight U.S. shift (12am-8am ET) to ensure 24-hour total coverage for outside the continental U.S.
OCONUS contracts and task orders primarily in Africa, Europe, and Asia with OA assisting in any after-hour needs related to travel or emergencies expressed by the field.
Perform other duties and assignments as required.
Requirements
Bachelor's Degree preferred; experience in lieu of degree will be considered.
Proven ability to work effectively under time-critical deadlines and stressful situations.
Proficient in Microsoft Office, with intermediate MS Excel skills.
Prior experience organizing and communicating using MS Teams is preferred.
Must be fluent in English.
Must have access to high-speed, reliable, and secure internet service with a minimum of 4 Mbps for upload and download.
Preference for applicants in the Western European Time Zone (UTC+01:00) to the Bangladesh Time Zone (UTC+06:00) due to support hours being from 12am-8am U.S. Eastern Time.
Strong communication, critical thinking, multi-tasking, and prioritization skills required.
