We are looking for an Office Specialist belonging to protected categories (Law 68/99), Article 1. The Office Specialist plays a crucial role in supporting the Office Manager by handling a diverse array of tasks focused on both event management and office operations. This role requires a high level of coordination and communication to ensure seamless execution of responsibilities. Key Responsibilities Event Planning and Execution: Assist the Office Manager in the conceptualization and development of events that align with the company's goals and values. This involves managing all logistic elements, such as coordinating event registrations, arranging travel and accommodations, and providing onsite event support. Supplier and Resource Management: Take charge of selecting suppliers for various services needed during events, including audio/video setups, catering, and entertainment. Office Operations: Oversee the procurement and inventory management of office supplies to ensure that the office, meeting rooms, and communal areas are tidy and functional. Financial and Budgetary Support: Collaborate with the Office Manager in the preparation and monitoring of budgets, keeping a meticulous record of all expenses related to events and office activities. Cross-Departmental Collaboration: Work closely with the People Team and the Brand & Creative Team to prepare promotional materials for both internal and external events. Project and Initiative Support: Provide assistance in managing specific projects assigned by the Office Manager. In this multifaceted position, the Office Specialist ensures that both events and daily office functions are executed with precision, contributing to a productive and vibrant work environment. Requirements Previous experience in organising corporate events or secretarial work preferred. Good knowledge of the English language.
