Office Manager Embassy of Ireland, Rome Our mission is to promote and protect abroad the values, interests and economic well-being of Ireland and its people.
We do this under the political direction of our Ministers, through our staff at home and through our Embassy network abroad.
Job Detail The Embassy of Ireland, Rome, is seeking a highly motivated, enthusiastic and hardworking person with excellent leadership, communication and interpersonal skills to fill a full-time Office Manager position.
The Office Manager will demonstrate experience in leading and managing teams and strong interpersonal and communication skills.
They will have experience in the areas of people management, human resources, facilities management and procurement, financial and budgetary management, and have knowledge of office management-related ICT/software systems.
They will demonstrate knowledge of Italian workplace legislation.
They will have a track record of working on their own initiative and delivering results, including managing a range of different projects at the same time.
They will have a commitment to public service values and customer service.
Experience with working on complex projects or events would be beneficial.
Roles and Responsibilities: The precise range of duties will vary over time according to the needs of the Embassy, but will include the following: Day-to-day management of Embassy office team with responsibilities including Team Leadership, Human Resources, Financial and Procurement Management, including contract management; Management of the Embassy's administrative and support activities relating to Consular services, Infrastructure, Security, Health and Safety issues; Oversight of compliance of Embassy's practices with organisational policies and Italian labour law; Management of the Embassy building, including oversight of utilities, maintenance, ICT, gardening, and other relevant works.
Support events and ministerial-level and senior official-level visits, principally through oversight of Embassy staff roles and responsibilities and leading on logistical arrangements; The successful applicant will report directly to the diplomatic staff in the Mission; The Office Manager may be required to carry out other functions subject to the business needs of the Mission, including periodic out of hours' work.
Essential Requirements candidates must be able to demonstrate: Candidates must have at least three years' previous professional experience in a similar role; The candidate must demonstrate using work based examples of providing excellent interpersonal skills , being persuasive, leading and working in a team but also dealing effectively with people in external organisations; The candidate must have proven ability to build relationships and maintain a network of contacts across academic, funding agency, industry and public-sector communities; The candidate must provide evidence of flexibility, efficiency and effectiveness showing strong organisational skills , attention to detail, able to work under pressure and to manage multiple tasks; The candidate should provide examples of being solutions-oriented, and committed to delivering results , including by adapting approach if necessary; The candidate must have a high level of both written and spoken English and Italian (minimum fluency in one, and C1 level in the other).
Note that language testing will form a part of the short-listing process; The candidate must demonstrate, using examples, their working knowledge of Microsoft Office Suite (Outlook, Word, Excel); All applicants must have a permanent legal right to reside and work in Italy.
Desirable Skills and Experience: A degree in a relevant discipline would be considered beneficial; A good understanding of the role of the Department of Foreign Affairs and the Embassy; Previous experience in a diplomatic mission is desirable, but not essential.
Terms and conditions of employment: The successful candidates will be hired on a fixed-term contractual basis and will be based at Embassy of Ireland, Rome, located at Via Giacomo Medici 1, 00153 Roma.
Initial one year contract with six month probation period.
Monday to Friday, 35 hours per week, with standard office hours from 09.15am to 17.30pm Annual Leave entitlement 25 days per annum.
The salary for the position is €33,684.87 per annum, paid locally on a monthly basis.
Salaries are paid direct to a bank account, therefore, the successful candidate must have a bank account.
