City of New York Office Manager New York , New York Apply Now THE SELECTED CANDIDATE WILL BE OFFERED A SALARY BETWEEN $51,816 - $59,588.THIS POSITION IS ONLY OPEN TO CANDIDATES WHO ARE PERMANENT (NOT PROVISIONAL) IN THE CIVIL SERVICE TITLE OF PRINCIPAL ADMINISTRATIVE ASSOCIATE.The Administration for Children's Services (ACS) protects and promotes the safety and well-being of New York City's children and families by providing child welfare, juvenile justice, and early care services. In child welfare, ACS contracts with private nonprofit organizations to support and stabilize families at risk of a crisis through preventive services and provides foster care services for children not able to safely remain at home. Each year, the agency's Division of Child Protection responds to more than 50,000 reports of suspected child abuse or neglect. In juvenile justice, ACS manages and funds services including detention and placement, intensive community-based alternatives for youth, and support services for families. ACS is also a key part of NYCs early childhood and education continuum, providing childcare assistance to thousands of child welfare involved and low-income children so they can access safe, affordable, quality care.The Employment Law Unit (ELU) is under the Office of the General Counsel at ACS. ELU handles investigations and proceedings as to employee misconduct and unfitness under the CSL, researches and responds to external discrimination complaints, trains agency staff and leadership in employment law issues, liaises with the Law Dept., DOI, and other external oversight and stakeholders, and counsels agency leaders regarding employment law issues and policy initiatives.The Office Manager is responsible for the following necessary tasks:Daily data entry (as well as and troubleshooting) in ELU database ( ELITS) and any other systems as neededConduct frequent searches and provide information/reports: ELITS, Old DJJ database, Citytime, PMS, other systems as neededPrepare responses to daily or weekly ELU vetting requests from internal and external stakeholders, including sensitive data. Send out such reports after approval, as requested.Ordering of supplies, Purchase orders, Request Business Cards and buck slipsReceive/sort/distribute and generate US Mail correspondence, go to post office as needed. Deal with ACS mailroom as needed.Remote video: MS Teams (Webex, Zoom etc. as needed): Train staff, Set up and host meetings as needed, invite participantsDaily opening of files in ELITSDaily opening of files hardcopyClosing of files in ELITSClosing of files hardcopyInternal archiving of hardcopy closed filesWITS system entry and troubleshooting and sending relevant closed hardcopy files to external archive ( warehouse)Liaison for building (landlord) and facilities ( internal ACS)Prepare move matrices as neededProvide administrative support for selection and onboarding of new staffAssist with OHR and IT, etc. for staffers ( Request ID's, cell phones and other devices as needed, building entry cards)Assist Investigators with scheduling interviews on shared calendar as neededAssist with shared calendar profileAssist with Assoc. GC scheduling if requestedHandle telephone, email, and US Mail correspondence/requests for the office including both legal and general correspondence (and for Assoc. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above.
