About the role We are looking for a Crew & Office Administrator in view of the delivery of our cruise ship MeinSchiff Relax to join our office in Monfalcone, Italy.  Main tasks: To coordinate the organization with respect to accommodation, travel (and catering as required) for all arriving crew members, visitors (company and contractors) and VIPS. To coordinate suppliers and subcontractor activities working for the Owner in the shipyard ensuring that their correct documentation are submitted to the Yard. To liaise with Shore Side staff, the crew purser and manning agents to ensure that all crew joining site office have the correct documentation (VISA requirements, work permit and permit of stay) if not already provided and organized by their respective fleet personnel offices. To administer all crew immigration, customs documentation and shore passes together with the Port Agent. To ensure that the appropriate paperwork are provided. To book all hotel accommodation as per rank according to the Building Schedule. Assist in day-to-day issues possibly related to leaving in a foreign country in association with the crew purser. Locate and arrange for the rental of apartments for officers that are on site for a long period of time. In addition to these crew admin tasks, to support the office supervisor on some administrative tasks : Provide support to office Management and visiting Executives Provide general support to visitors, including Executive visits (transfers, accommodation, Shipyard entrance badge, wifi, etc) Co-ordinate schedules, appointments and bookings Maintain the office condition and arrange necessary repairs Maintain a safe and secure working environment Support to plan and organize in-house or off-site activities, like parties, celebrations and events Hands on experience with IT related office machines (printers, laptops, Webex meeting…) Ensure security, integrity and confidentiality of data Organize logistical assistance (hotel, rental car..) for consultants Profile: Problem solving oriented Very well organized Dynamic Passionate for new challenges Out of the box thinker IT skills (Microsoft Office) Fluent in English & Italian
