**OVERVIEW*
This role provides administrative and project support to the teams based in the Milan office and beyond.
They are responsible for assisting with the successful planning, execution, tracking, delivery and closure of client projects.
They will help engage the global team in the fulfillment of these requirements, crafting client solutions based on the Welocalize Four Pillars of Customer Service, Quality, Innovation and Global Teamwork.

**ESSENTIAL DUTIES AND RESPONSIBILITIES*
Tasks and responsibilities associated with project coordination and general administrative support such as:
- Assist Project teams with planning, scoping, requirements gathering and validation with clients.
- Liaising with the internal and external team to successfully coordinate the delivery of client projects.
- Establishing and nurturing relationships surrounding your assigned team.
- Ensuring finance systems are kept up to date and accurate.
- Process documentation and knowledge management.
- Meeting minutes taking where required
- Calling linguists to determine availability for new requests or follow up on existing projects.
- Assisting with mailbox coverage for a colleague who is out of office as required
- Data entry into operational systems
- Data entry and compilation of operational data for daily/weekly/ monthly reports
- Supporting and participation in various audits, i.e.
ISO, legal, etc.
**Tasks and responsibilities associated with reception management, incl.
but not limited to**:
- Dealing with deliveries and shipments, incl.
post, couriers, etc.
- Assisting with travel arrangements
- Booking conference calls/conference room
- Managing stationery and other relevant office supplies, i.e.
printing materials, kitchen supplies, refreshments, etc.
- Keeping the public/shared spaces within the office neat and organized at all times
**QUALIFICATIONS AND REQUIRED SKILLS**:
- Knowledge of administrative and clerical procedures
- Proficiency with MS Office software, i.e.
Word, Excel, PowerPoint, etc.
- Knowledge of customer service principles and practices
- Ability to work a switchboard
- Can do attitude
- Positive and professional demeanor
- Very delivery orientated
- Excellent communication skills with the ability to convey messages in a clear and concise manner, both spoken and in writing
- Fluent English required, both written and spoken
- Excellent organization skills with strong attention to detail
- Multitasking: Strong time-management skills.

**EDUCATION**
Preferred but not mandatory - Bachelor's degree (B.A.)
from four-year college or university;

- Previous administrative experience is preferred
