**Job Purpose**
To provide vital administrative support to the Base Management team for the Italian Bases.
To organise the base environment, increasing efficiency and high standards.
To cooperate and proactively support the Base Management Team in dealing with situations potentially impacting on operations.
**Role Accountabilities**
- Dual responsibility for the cabin crew and pilot community
- Provide assistance to all members of the base team
- Providing daily/weekly and monthly reports as requested by the Cabin/ Pilot management team.
- Managing overall absence documentation, including recording of certificates, scanning and storing
- Managing process related to requests of "visita fiscale"
- Manage administrative tasks related to disciplinary processes (e.g.
scanning, storing, shipments )
- Supporting the base team as directed by the Base Manager including when new functions/systems are introduced
- Undertaking weekly Base Office audits, refreshing essential flight paperwork and ordering supplies
- Regular audits of the crew room manuals and H&S equipment to ensure they are compliant
- Identifying any crew base infrastructure or service delivery issues and either resolving them with IT/Facilities/Operations Support or when necessary escalating concerns locally or centrally
- Promoting a self-help culture by helping crews to become familiar with new working practices and IT as they are introduced
- Managing administrative tasks related to maternity/paternity leave and parental leave
- Ad hoc management of personal files physical storage
- Responsibility for airside ID renewals, administration of easyJet ID's and managing local requirements for car park/crew room passes or swipe cards.
- Processing base paperwork, including scanning and where appropriate arranging DHL/FedEx delivery of documents
- Managing S1 and relationship with SASN Offices with regards to enrolments, transfers, leavers etc
- Managing records and updates of "libro infortuni"
- Produce and issue local employment letters as required
- Ability to identify specific issues that need escalating and provide innovative solutions as appropriate

**Key Skills Required**
**Desirable**:
- Sound knowledge of local policies and procedures related to administrative role
- Previous experience in an administrative role
- Previous experience of working in an airline environment
- An understanding of a high-volume operational business.
- Knowledge of easyJet systems including reporting packages.
**Essential**:
- High degree of IT literacy including Word, Excel and Outlook.
- Excellent numerical and verbal/written communication skills
- Well organised with meticulous attention to detail
- Enthusiastic, flexible and adaptable
- Ability to work cross functionally with internal and external stakeholders
- Ability to travel when required (e.g.
support to other Italian Bases)
