Provide administrative and logistical support to the Sales & Marketing, in line with internal company standards and procedures.
The Assistant reports directly to the Franchise Head Breast Disease and supports the line manager and the team autonomously and competently in the domains as defined below.
He/She acts forward-looking and keeps track of the relevant processes. Roles & Responsibilities: SAP Purchasing & Delivery: Initiating PR on the basis of quotes/contracts Tracking POs in the system and supporting status enquiries from the team Contracting: support in contract preparation, sending out and tracking of contracts, contract filing (online and DSE archive) - preparation of transparency lists a.o. Processing material/service deliveries in alignment with project managers Ensuring correctness of delivery dates Tracking commitments and resolving these in the system Meetings Organizations: Provide administrative and logistic support Request and check offers of suppliers and service providers in order to arrange meetings and conferences onsite and off-site Preparation and invitation of meetings Preparation of meeting minutes Providing general assistance to the department head/team in daily operations e.g. PP-Presentations on demand General Administration: Responsibility for the administration of highly sensitive data Support in preparing and monitoring the commercial managers' travel expenses Ensure proper documentation of all expense notes and other sales activities (ex. Regional meeting,) respecting the pharmaceutical codex and legal requirements Create and maintain all relevant databases Travel & Time management Ordering office materials and equipment Distributing the postal and internal mail Translate relevant documents if required to local language Professional experience & Education: Minimum 5 years of experience Fluent English (written and spoken) is mandatory Confidentiality Reliability Resilience MS Office & SAP Why work with us?
