ICS Milan is looking for an HR Specialist who will join our People and Culture Department and will be responsible for the day-to-day management of human resources operations.
Reporting directly to the HR manager Italy and the Executive Principal of the school, the HR Specialist will manage day-to-day payroll, contracts, training programs, policy administration, and other administrative activities of the department.The ideal candidate will demonstrate exceptional proficiency in Excel and possess superior English language skills.
Prior experience in an international context will be considered a plus.Immediate start, full-time position.Main Responsibilities:Support new staff during relocation and onboarding processes;Manage the immigration procedures of new staff coming from abroad;Compile key operational payroll metrics dashboards and follow the whole payroll process for timely and reliable processing;Utilize Zucchetti Infinity Suite to manage staff presence and absences;Manage the GDPR documentation and ensure policy compliance;Manage compulsory health and safety activities and training for all staff;Provide support and guidance on employee relations matters, maintaining positive workplace morale and managing conflict resolution when necessary;Coordinate employee satisfaction surveys and give actionable insights to improve employee experience;Liaise with internal stakeholders (e.g.
School Managers, School Principals) for any specific needs;Collaborate with the People Culture Talent Business Partner Italy to finalize the contractualization of new employees and provide needed support in the onboarding process;Liaise with the PC Policy Officer Italy regarding policy, training, and provision of courses to the staff;Assist the HR manager and Executive Principal in day-to-day activities.Requirements:Proven past experience as an HR Specialist or in a similar role, preferably in an international and multicultural environment and/or similar field;Strong analytical skills and advanced knowledge of Excel;Knowledge of Zucchetti Infinity;Fluency in Italian and English is mandatory;Proactive attitude and strong work ethics;Strong organizational and problem-solving skills;High confidentiality;Strong understanding of payroll processes;Bachelor's or Master's degree in a related field preferred.Safeguarding Statement:ICS Milan is committed to safeguarding and promoting the welfare of children, young people, and vulnerable adults and expects all staff and volunteers to share this commitment.
