Job Description Summary: The Executive Assistant provides administrative support to Vice President Quality, Vice President Finance and Vice President Human Resources, Drug Product Division. Handles matters with strict confidentiality and meets short deadlines.
Essential Functions: Coordinates requests and responses internally and externally; acts as a liaison for leaders and colleagues.Reference person for calendar management for multiple VPs.Makes travel arrangements for global travel needs of Executives during normal business hours and off-hours if required.Processes expense reports through Concur according to Thermo Fisher Company policies.Provides other general administrative support that may include use of other Thermo Fisher systems.Performs other duties as assigned.Schedules and organizes in-person meetings when required (coordinates logistics; catering and oversees general meeting set-up).Supports Drug Product Division from time to time as needed.Education: High school diploma required. Associate's degree in Secretarial Science, Business, or related field preferred.
Experience: Requires a minimum of 5 years of administrative support experience. Recent experience supporting an executive in a corporate environment preferred.
Equivalency: Equivalent combinations of education, training, and relevant work experience may be considered.
Competencies: Advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.Effective verbal communication skills.Excellent English grammar, spelling, punctuation, and writing skills.Attention to detail and work accuracy. Adaptable and resourceful and proactively anticipates needs.Excellent time management and organizational skills and ability to prioritize workload and meet deadlines. Excels in a fast-paced environment.Fosters partnerships with executives and co-workers in a global environment providing professionalism, confidentiality. Ability to work flexible hours.Physical Requirements: Position requires moving about office locations; ability to manipulate (lift, carry, move) objects of light weights up to 25 pounds; arm, hand and finger dexterity, including ability to grasp and type for prolonged periods of time; visual acuity to use a keyboard, computer monitor, operate equipment, and read materials for prolonged periods of time; ability to sit, reach with hands and arms, talk, and hear for prolonged periods of time.
The Executive Assistant will work fully remote, with occasional visits to the office in Monza when required.
