Position Overview Ralph Lauren is seeking a proactive and team-oriented Executive Assistant to support the Managing Director of Region Italy, Iberia, Partner Territories & Travel Retail.
This role requires organizational skills, flexibility, and emotional intelligence to work in a dynamic and fast-paced omnichannel environment.
Superior attention to detail and the ability to meet tight deadlines and juggle multiple requests is critical.
Integrity and discretion in handling confidential information and professionalism in dealing with senior executives is imperative.
A flexible approach is a must, and the ability to change direction at a moment's notice.
Responsibilities Perform extensive travel arrangements for the Managing Director and his Leadership Team (including arranging visas if necessary).
Perform extensive diary management.
Plan and organize meetings & company events including venue search and booking, issuing invitations and tracking acceptances, budget control.
Plan and organize Executive Visits within the Managing Director's regions by collaborating with other EAs and project teams.
Be ready to travel if necessary.
Prepare and submit expenses for the Managing Director.
Instill a proactive approach to administrative support for the Managing Director in order to optimize his time.
Act as the first point of contact and central information point for the Managing Director.
Send out communications on behalf of the Managing Director when required.
Prepare and collate documentation as and when required.
Manage and maintain the team contact and email distribution lists.
Prepare booking for boardrooms/meeting rooms for meetings and ensure video conferencing, refreshments, etc.

Build strong relationships with our stakeholders.
Experience, Skills & Knowledge Required to use own initiative and be a driven self-starter to foresee the MD and the Company's needs.
Demonstrate a flexible, intuitive, and pragmatic way of working; the candidate will need to consider different time zones, remote teams, changing deadlines, etc.
Portray a professional image of the team and company to our customers, both internal and external.
Ability to communicate at all levels.
Uphold confidentiality principles.
Maintain the commercially sensitive nature of information.
Knowledge of MS Office - Word, Excel, and PowerPoint.
