Job Description The Executive Assistant is responsible for the operational execution of various organizational and administrative activities to support the tasks of the top management in which the secretarial office is involved. The core responsibilities of the role are:
Development and monitoring of performance and process analysis strategies in accordance with the business objectives. Preparing internal and external corporate communications in compliance with the policies and style of company management. Managing ordinary activities related to the Top Management agenda. Qualifications 1.01 Organizes and manages the Management's agenda, ensuring the alignment of the actors involved.
1.02 Drafts incoming and outgoing correspondence, taking care of the archiving of the documentation managed both on paper and electronically.
1.03 Manages travel bookings for the Responsible management for any traveling and/or expatriate staff, taking care of timing and details.
1.04 Operationally organizes meetings by managing catering, locations, invitations, reservations and trips.
1.05 Prepares the materials necessary for meetings, drawing up minutes at their end where necessary.
1.06 Checks the availability of material for offices and/or retail, formulating purchase orders if necessary.
1.07 Promotes the development of role learning through proactive, team and digital activities, aimed at innovation and improving effectiveness/efficiency of its Responsibilities.
1.08 Promotes, adopts and develops the use of digital technologies within its function in relation to both process management and in relations with internal and external interlocutors involved in the business.
1.09 Adopts significant behaviors and promotes operational actions/cultural for Sustainable Development, understood as the interconnection of practices oriented towards the Care of the Environment, Business Processes and Organizational Community.
Requirements: Good ability for critical analysis and data interpretation. Advanced use of Excel and data analysis. Knowledge of the English language, both written and spoken at least at B2/C1 level.
