Together with our partners and participants, we cultivate communities where people are progressively seen, accepted, challenged, and supported.GENERAL SUMMARYThe Events Administrator will play a crucial role in supporting the operations of numerous events throughout the year.
This position involves coordinating and maintaining event RSVPs, building event websites, and securing silent auction donations.
The Events Administrator will also manage the OneCause event management software and attend all relevant training sessions to enhance our use of the platform.ESSENTIAL TASKSEvent Planning and Promotion: Assist in supporting all events operations including the Annual Fundraising Gala, Lee County Golf Classic, Naples Automotive Experience, Dean Lind Memorial Golf Classic, Donor Networking Events, Capital Campaign events, Justin's Place Graduations, ground breakings, ribbon cuttings, local leadership groups, and the opening of new social enterprises.Event Management Systems: Build, manage, and maintain events sites using our OneCause event management system and other platforms, ensuring accurate guest list management and ticket processing.
Regularly attend ongoing training to enhance platform usage.Day-of-Event Support: Provide on-site operational support on the day of major events to ensure smooth execution.Administrative Support: Offer administrative assistance to the Director of Development Operations.Inventory Management: Keep an inventory of all event-related materials, ensuring physical materials are available for each event and informing the supervisor when inventory is low.Meeting Support: Take notes in all event related meetings for historical reference data to be captured accurately.Progress Meetings: Attend weekly progress meetings with the supervisor to discuss event planning and execution.Marketing Support: Assist with the editing of event marketing materials graphic build on OneCause event platform.Silent Auction Procurement: Procure silent auction donations for year-round silent auctions utilizing online request forms on business websites as well as the ShareWay auction item procurement platform and participate in silent auction committee meetings.General Support: Perform additional duties as required to support the success of the St. Matthew's House development department.RequirementsKNOWLEDGE, SKILLS AND ABILITIESEducation: College degree preferred.Event Planning: Event planning experience preferred but not required.Technical Skills: Strong computer skills with a willingness to learn specialized software.Initiative and Creativity: Innovative self-starter, creative thinker, demonstrated initiative, and able to work independently.
Confident decision-maker with a positive attitude.Team Collaboration: Team player with the ability to work collaboratively with staff at all levels.Organizational Skills: Ability to keep track of documents and deadlines related to events.Flexibility: Maintains flexibility to adapt to fluctuating workloads and ability to work outside standard business hours especially as events approach.Professionalism: Ability to exercise good judgment and represent St. Matthew's House professionally.Confidentiality: Adhere to St. Matthew's House standards on donor privacy.Communication: Strong written and oral communication skills.Interpersonal Skills: Strong interpersonal skills with a desire to provide high-level customer service.Physical Demand: Must be able to lift 10 pounds from time to time when prepping for events, able to move about the facility, sit for periods of time and possess manual dexterity required to operate the computer and other business equipment.Attention to Detail: High attention to detail.Mental/Visual Demands: Flow of work requires normal mental and visual capabilities.Mission Alignment: Passion for the mission of St. Matthew's House.Requirements: Must have valid FL driver's license and meet the standards of St. Matthew's House approved driver criteria.
