Job SummaryThe Department of Romance Languages and Literatures (RLL) seeks candidates for the position of Elementary Language Program Coordinator to support the administrative and human resources functions of RLL's Elementary Language Program (ELP).
With a history dating back to 1846, RLL is one of the longest-running departments in the College of Literature, Science, and the Arts. We offer four undergraduate majors, four undergraduate minors, and three doctoral degrees. The department has a strong commitment to Diversity, Equity, and Inclusion and actively seeks to teach not only the languages and cultures of France, Italy, Portugal, and Spain but also the legacy of their colonial activities across the globe. As a key member of the RLL staff, the coordinator provides a broad range of administrative and programmatic support for the department's ELP. This program includes all the courses offered by RLL's faculty and graduate student instructors that meet undergraduate students' language requirements at the University of Michigan. There are currently 106 instructors (LEO Lecturers and GSIs) teaching in the ELP.

This position reports to the Chief Administrator, with functional supervision provided by the Director and Assistant Director of the ELP.
Responsibilities*NOTE: Percentages are approximate and will change throughout the academic year.
Administrative Support (40%) Provide administrative support for the Director and Assistant Director including coordinating calendars, scheduling meetings, taking meeting minutes, drafting correspondence, and managing event logistics.Partner with LSA in the hiring process for new Lecturers, overload requests for lecturers, substitution payments.Hire, onboard, and supervise work study students or student employees in support of the ELP.Logistical support related to professional development, funding, and teaching opportunities including scheduling and hospitality.Create and distribute resource documents for the program.Data collection and analysis.Distribute, collect, and summarize responses for annual reports.Collect, upload, and distribute observation forms.Maintain accurate and up-to-date employment records and track course release accrual/usage.Create reports and track RLL-specific milestones.Offer logistical and administrative support for the ELP's annual new instructor orientation.On-board new employees and off-board departing employees.Oversee the lecturer instructional budget.Assist with facilities management as well as computer inventory and ordering.Create polls and surveys to collect information.Manage exams: Proctor placement & validation; schedule rooms for makeup exams, speaking tests, etc.; tracking, troubleshooting, and liaison with tech support as needed, open and close tests, etc.Administer and collect coordinator evaluations and teaching evaluations.Order office supplies.Create and maintain an academic year program cycle document for Directors.LEO Contract Administration (30%) Ensure RLL remains in compliance with all aspects of the U-M | LEO agreement.Interpret and implement provisions of the agreement within RLL.Track seniority, teaching histories, and layoff lists.Oversee lecturer review schedule and maintain accurate records.Manage all aspects of job postings and support the search committees.Process substitution pay and overload requests as needed.Coordinate leaves of absence with LSA HR.Coordinate teaching preferences for Lecturers and GSIs.Oversee applications for Term III.Work directly with the undergraduate student services team to implement the ELP class schedule. Identify logistical concerns and identify internal classroom switching.List and order textbooks.Course promotions.Fulfill copy requests for exams, syllabi, and other documents related to the ELP.Required Qualifications*A bachelor's degree or equivalent work/educational experience is required for this position.At least 2-3 years of progressively responsible experience working in an administrative or human resources role.A demonstrated commitment to diversity, equity, and inclusion.A collaborative, proactive, and goal-oriented approach to administration.Strong organizational skills and attention to detail.Ability to work independently and interactively as part of a team.Excellent verbal and written communication skills.Intermediate experience with Microsoft Office as well as Google Docs and Google Sheets.Desired Qualifications*Prior experience with contract management and bargained-for employees.A bachelor's degree in Human Resource Management.Knowledge of U-M and LSA policies and procedures.Familiarity with project management software such as Asana, ClickUp, Trello, or Monday.com.Modes of WorkPositions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Work agreements are reviewed annually at a minimum and are subject to change at any time, and for any reason, throughout the course of employment.
Additional InformationThe salary range for this position is $45,000 to $56,000, please note a higher salary may be offered based on equity and the selected candidate's experience.
This position is hybrid with the expectation of 3 in-person and 2 remote days after the first month of employment.
