For our De Nora Water Technology Business Unit - Milano Office - we are looking for a Document Controller, who manages and ensures that accurate information and documents are distributed throughout the organization, on time, to team members and external stakeholders based on the agreed communication matrix. Responsible for maintaining the accurate records of projects or company documentation with easy access.

The Document Controller also maintains and examines related files to release blueprints, drawings, and engineering documents to Clients and other operating departments.

Main responsibilities: Creating, following, and improving document control procedures. Coordinate all activities related to the Document Control procedure, including technical documents and drawings. Input document data into the standard registers ensuring that the information is accurate and up to date. Generate the various document control reports as required. Revise documents from Engineers' inputs as needed. Ensure that controlled copies of the latest approved documents and drawings are given to the appropriate staff, subcontractors, and suppliers as applicable. Maintain updated records of all approved documents and drawings and their distribution clearly. Maintain the documents and drawings in the Document Control office under safe custody without any damage or deterioration with easy traceability. Maintain the files and control logs as required by the project. Ensure that documents are distributed/shared to projects team at key times to facilitate timely project completion. File documents in physical and digital records. Create document control templates (using Microsoft Excel). Retrieve files as requested. Manage and keep track of the flow of documentation. Produce document progress reports for managers. Help in the planning stages of a specific project. Ensure all documentation meets formal requirements and required standards. Work from the office close to the projects team. Conduct regular reviews and document audits with the projects team. Understand and adhere to all company health and safety procedures as they relate to essential functions. Education and professional experience: Bachelor's degree in Engineering or similar. Some related work experience in office work, documentation, and control. Knowledge of Engineering disciplines like Mechanical and Electrical. Minimum of two years of work experience in document or records management preferably with EPC contractors. Knowledge in the use of spreadsheets, database, word processing, and selected job-specific software. Ability to keep clear and accurate records and reports. Ability to use a computer and rapidly input data and retrieve records and information. Ability to organize workload and manage filing methods and management techniques. Good communication skills.
