Job Summary The Studio Coordinator plays a critical role in managing the daily operations of the creative studio, supporting creative teams, and ensuring that projects are delivered on time and within budget. This position also involves overseeing the studio's website updates, including content management and basic design or functionality changes. The role requires strong organizational and multitasking skills, a proactive approach, and a deep interest in creative processes and digital platforms.
Key Responsibilities Studio Operations: Ensure the smooth running of the studio by managing administrative tasks, resources, and schedules. Maintain studio equipment, software, and materials, ensuring they are ready and accessible for the team. Handle studio supplies, including managing orders and inventory. Keep the workspace organized, promoting a productive and efficient working environment. Project Coordination: Assist in managing project timelines, ensuring deadlines are met by tracking progress and coordinating with designers, developers, and other team members. Maintain project management tools (Google Drive, Calendar, Sheets, Docs, Meet) and ensure that project data is accurate and up-to-date. Help allocate resources to projects based on team availability and skillsets. Assist in creating production schedules and ensure all creative materials are delivered according to the client brief. Website Management: Independently manage and update the agency's website, ensuring content is fresh, relevant, and accurate. Collaborate with the design team to make updates or enhancements to website layout, design, and user experience as needed. Ensure all website content aligns with brand guidelines and creative standards. Monitor website performance (Google Site Kit) and report on key metrics (e.g., traffic, engagement) as required. Manage CMS (Content Management System) updates, ensuring all content uploads are optimized for web standards. Basic knowledge of WordPress and Elementor. Communication & Collaboration: Act as the point of contact between different departments, ensuring effective communication and workflow between creative, client services, and production teams. Liaise with external vendors, freelancers, and partners when needed. Organize and schedule internal meetings, client calls, and creative reviews (Google Meet & Calendar, iCal). Provide updates to the Studio Manager or Creative Director on the status of projects and resources. Administrative Support: Manage studio calendars, appointments, and bookings. Assist in onboarding new staff and freelancers, ensuring they have the necessary tools and resources to perform their roles. Prepare and manage reports, project documentation, and presentations as required. Assist with invoicing and budget tracking. Quality Control: Help ensure the quality and consistency of creative work by overseeing the approval process. Ensure all assets (e.g., files, mockups, and presentations) are organized and archived properly. Support quality checks for all outgoing work, ensuring it meets client expectations. Required Skills & Qualifications Proven experience in a coordination, administrative, or project management role, ideally within a creative, design, or advertising agency. Strong organizational skills with the ability to manage multiple tasks and deadlines. Excellent communication and interpersonal skills. Proficiency in project management tools, Google Workspace, Microsoft Office and iWork. Basic understanding of design and creative processes, including familiarity with software like Adobe Creative Suite (a plus). Detail-oriented with strong problem-solving skills. Ability to work collaboratively in a fast-paced, deadline-driven environment. Knowledge of the design industry and a passion for creativity and arts. Preferred Qualifications Experience in scheduling, resourcing, or studio management. Passionate of the digital design, branding, and/or creative process.
