The Management Services Division continues to look for digital solutions to meet the growing demand from the organization and implement the initiatives related to digital transformation.
ORGANIZATIONAL CONTEXT The Management Services Division (MSD) supports a community of over 4,000 team members, worldwide - ranging in profiles from Architects and Engineers to Drivers and Maintenance Workers.
The Administration functional area prides itself on providing quality customer service while ensuring that WFP operations reach our beneficiaries, smoothly, even in the toughest conditions, through providing efficient, cost-effective digital solutions for our colleagues in the field.
The priorities of the MSD transformation are developed with the view of providing relevant solutions in alignment with the needs of our end-users/customers, situated in field locations, involving all Administration workstreams, including Engineering.
The Management Services Division is seeking a Communications, Engagement & Knowledge Management Officer to join the team with the overall goal of supporting two branches (one based in Rome and one based in Dubai) in what concerns the Communication and Visibility of the Branch Activities, where you will collaborate with technical specialists and other cross-functional teams, reporting directly to the Head, Communications, MSD.
MSDA, based in Rome leads the policy and guidance supporting global operations in areas of Protocol, Privileges and Travel; MSDF, based in Dubai is responsible for providing expert, technical guidance for Regional Bureaux and Country Offices fleet management.
2 - RESPONSIBILITIES Under the direct supervision of the Head, Communications MSD and in close coordination with the Branch Chiefs, the Communications, Engagement & Knowledge Management Officer will:
Collaborate closely with Unit Heads, technical teams, cross-functional partners, Chief MSDA and MSDF to communicate initiatives and ensure prioritisation and consistent messaging aligned to Divisional needs and corporate standards.
Act as a liaison with the Management Services Division Communication Team to provide content and information that will highlight and support the progress of MSD, MSDA and MSDF projects Lead relevant communications through liaising, supporting, and advising respective technical experts and teams, and communicating with relevant field-based colleagues Communications, knowledge management & engagement actions include:
Defining and supporting teams with communications and engagement plans and strategies, in line with MSD Communications Head Advising on communications updates at MSD level and WFP ex:
new branding guidelines, new templates to use etc.
Contribute to strategic communications for MSDA and MSDF, including conceptualizing & implementing communication strategies, writing and editing various kinds of text and copy including but not limited to WFP Go Articles, blog posts, and social media posts when required.
Producing and assisting with other communications products including but not limited to WFP Go pages, presentations, online surveys, videos,scripts and talking points etc.
Facilitating and engaging with the Branches in online and in-person events Serving as a focal point to support the planning and execution of Global Staff Survey team building events and activities for the wellbeing of MSDA and MSDF and the MSD Division Identifying opportunities to enhance and streamline knowledge management across the branch through the utilization of the 0365 platform and other appropriate tools.
Any other reasonable requests as required from time to time by the Chiefs (MSDA/MSDF) or MSD Communications Head All the above will be done through:
building relationships with team members; maintaining active communication with project managers, and technical personnel.
Managing and meeting deadlines of a high-volume workload QUALIFICATIONS & EXPERIENCE REQUIRED:
**Education**:
Bachelor's degree in English, Communications, Journalism or a related field is strongly preferred Experience:
A minimum of 3 years post-graduate professional experience Proven experience in leading and managing strategic and operational communications Previous experience editing documents such as formal reports, letter reports, proposals, and work plans Knowledge & Skills:
