Mermaid Medical Group is expanding and seeking a new team member to support our Italian sales operations and tender activities. If you are detail-oriented and have an analytical mindset, this role could be the right fit for you!
As an Associate Office Manager, you will support our operations and tender processes, enabling our National Sales Manager to focus on direct sales in Northwestern Italy (Aosta, Liguria, Lombardy, and Piedmont).
Primary Responsibilities: Order Management: Handle Italian orders in Business Central, ensuring all aspects of the ordering process are completed accurately. Tender Preparation: Prepare and submit necessary documentation for public tenders; monitor tender notifications and platforms for opportunities. Customer Service: Provide support to clients, including addressing inquiries and resolving issues via phone and email. Sales Support: Assist distributors, agents, and direct sales personnel by maintaining customer records and databases. Product Registration: Coordinate product registration with local, regional, and national authorities. Shipping and Logistics: Handle shipment preparation for small-volume direct orders to customers. Invoicing and Financial Tasks: Manage invoicing (email, postal, and electronic) for private and public hospital clients; monitor and follow up on overdue invoices. Ad Hoc Tasks: Undertake additional tasks as needed to support sales and logistics operations. Competencies: Experience in the Italian Medical Device Industry and with tender preparation. Strong administrative skills in a business-to-business environment, ideally within direct sales support. Proficiency in English (written and spoken). Advanced IT skills, including Microsoft Office 365, Power BI, and knowledge with CRM systems. Organizational and multitasking abilities, with a proactive approach and attention to detail.
