The Trustees of Columbia University in the City of New York Associate Director in New York , New York Job Type: Officer of Administration Bargaining Unit: Regular/Temporary: Regular End Date if Temporary: Standard Work Schedule: Building: Salary Range: $98,000 - $105,000 The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training.
The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
Position Summary The Associate Director is the lead administrator at the Institute for the Study of Sexuality and Gender (ISSG), responsible for the oversight of the day-to-day operations of the Institute, the management of its public program, its undergraduate and graduate academic affairs, and collaborates on strategic planning and the execution of ISSG's mission.
Responsibilities Manages the day-to-day operations of the Institute, which includes: Oversight of the Institute's finances, including opening and closing of the budget; performing quarterly budget updates; explaining variances; tracking and reconciling expenses; approving financial transactions in ARC (vouchers, journal entries, and requisitions/purchase orders); and reviewing and approving P-Card and Corporate Card/Concur transactions for policy compliance and proper documentation.
Serving as the HR point of contact for the Institute, including the creation of position requisitions in TalentLink for administrative hires as needed; collaborating with relevant academic departments on the hiring of professional adjuncts; collecting and inputting hire paperwork into PAC for professional adjuncts and student workers; processing labor accounting transactions; and liaising with A&S HR and A&S Academic Appointments as applicable to troubleshoot hiring issues as they arise.
Creating agendas and co-leading meetings of the Institute's Executive Committee.
Supervising the Program Coordinator and providing opportunities for professional development as applicable.
Directs the public programming of the Institute, which includes: Coordinating with the Faculty Director on event calendar for the academic year.
Issuing invitations and facilitating the onboarding of participants and vendors into Columbia's system for payment.
Booking participant travel and accommodations as applicable.
Reserving space and ordering catering as applicable.
The creation and circulation of publicity materials for upcoming events to on- and off-campus partners.
Executing day-of events logistics with Program Coordinator.
Approving requests for event co-sponsorship, and determine ability to provide financial support as requested.
Oversees undergraduate and graduate academic affairs for the Institute, which includes: Collaborating with the Program Coordinator and Barnard's Department of Women's, Gender, and Sexuality Studies to ensure required courses are staffed each academic year and reconciling any course conflicts.
Serving as the initial point of contact for students interested in pursuing the ISSG Graduate Certificate, sharing the requirements and explaining timelines for completion.
Coordinating the creation of review committees for the Institute's undergraduate essay prizes and graduate fellowships.
Collaborates and facilitates strategic planning activities for the Institute, including activities such as curricular changes, long-term planning, faculty recruitment, and other activities central to the mission of the Institute.
Performs related duties & responsibilities as assigned/requested.
Minimum Qualifications Bachelor's Degree required; advanced degree desirable.
4 - 6 Years of related experience.
Additional Qualifications Advance degree in Student Personnel Administration, Higher Education Administration, Public Administration or related academic discipline desirable.
Minimum four to six years of progressive professional experience, budget oversight and administrative operations required in higher education, administrative management, business operations or related field.
Excellent written and verbal communication with outstanding diplomatic, analytical and organizational skills required.
Ability to work effectively with multiple stakeholders (faculty, postdoctoral fellows, visiting scholars, graduate fellows, and administrators) across all levels required.
Must have initiative, discretion, and an ability to work to meet competing deadlines with sound judgment.
Experience with event management and coordination is a plus.
Knowledge of relevant academic fields strongly preferred.
