Under the supervision of the Associate Director of Annual Giving, the Assistant Director of Annual Giving will assist with the day-to-day management of the planning, execution and analysis of the direct mail program focused on increasing annual giving dollars and participation from alumni, parents and friends.
The Assistant Director will collaborate with other members of the Annual Giving Team to ensure a comprehensive approach is taken to all outreach, including digital, phone, and stewardship.
The Assistant Director will serve as the primary liaison to Advancement Services for data needs and reporting, responsible for requesting, verifying and preparing all data for annual giving communications and analysis.
Under the direction of the Associate Director, serve as a liaison to University Advancement Communication, Marketing, and Graphics Services to execute the design, functionality and print-quality of direct mail.
The Assistant Director will assist in ensuring all managed prospects receive appropriate annual giving solicitations.
Assist in coordinating department solicitations including but not limited to schools and colleges, athletics, and student development.
Responsible for attending and assisting with Annual Giving and select University Advancement events throughout the fiscal year.

Duties and Responsibilities: Project Management: With support from the Associate Director of Annual Giving, serve as the primary point of contact on direct mail solicitations and other special projects to ensure progress is tracked and deadlines are met.
Proactively lead communication with specific teams including University Advancement Communications, Business Analysts, and Graphics and Mail Services.
With direction from supervisor, manage the submission of project requests.
Responsible for ensuring all deliverables are received promptly including copy drafts, proofs, data files and service requests.Data Management: Responsible for requesting, coordinating, spot-checking and preparing all data files for direct mail purposes (solicitation, stewardship, donor promo fulfillment), ensuring accuracy and quality of data with support from the Associate Director of Annual Giving.
This requires attention to detail and knowledge of Excel.
Will use Cognos and Blackbaud Fundraiser Performance Management to run queries and pull reports to support ongoing analysis of our annual fundraising strategy efforts.Operational Support: Responsible for coordinating and managing the donor promotion fulfillment process.
Lead the management of the annual giving inventory of donor promotion items and stationery.
Manage stewardship outreach (i.e., Caritas Society and first-time donors) including preparing data files and mailings.
Format donor lists from campus partners for gift processing procedures.
Request and keep accurate records of solicitation codes and vanity URLs used by the Annual Giving Team.Report Management: Oversee the process of checking scheduled reports for accuracy and saving them consistently.
Manage updates to report criteria, especially at the start of each fiscal year.
Responsible for documenting and reporting on return-on-investment analysis and for keeping track of channel, solicitation and donor performance using Blackbaud Fundraiser Performance Management.1842 Day Support: With direction from the Associate Director of Annual Giving, support Villanova's annual day of giving overall, with a focus on data management and post-campaign analysis.
This includes ensuring early gifts are coded correctly, supporting the reconciliation of gifts during and after the active campaign and running reports for campus partners and overall analysis.Assist with documenting processes and procedures as needed.
Other duties and special projects as assigned.
Minimum Qualifications: Bachelor's degree required.One to three years of experience in an office or administrative setting.Must have excellent computer skills with a proficiency in Microsoft Office, especially Excel and other spreadsheet programs.Must demonstrate attention to detail and accuracy with the ability to manage several projects simultaneously.The successful candidate must possess a strong work ethic and a demonstrated ability to work with others.Ability to be flexible and manage multiple projects while effectively prioritizing workload to ensure deadlines are met is a must.Excellent verbal and written communication skills.Critical thinking and demonstrated comfort learning new technologies and systems required.Experience and ability to work independently in a fast-paced environment required.
Solutions-oriented approach to work.Proficiency in Microsoft Office, especially Excel and other spreadsheet programs is critical.
Preferred Qualifications: Previous experience working in fundraising or higher ed advancement is preferred.Knowledge of solicitation methods and standards is a plus.Experience using Microsoft Teams is strongly preferred.Understanding of or experience working with Banner, Salesforce, Cognos and Blackbaud Fundraiser Performance Management is preferred.
Physical Requirements and/or Unusual Work Hours: Flexibility to work nights and weekends to meet department needs.
