Hauptaufgaben Incumbent serves as the Clear and Legible Reports (medical reports) coordinator for the Military Treatment Facility to track and close all specialty referrals.
Generates reports which assist the administration in evaluating the program and any other duties necessary to complete the referral process and continuum of care for the patient in a timely manner.
Applies knowledge of medical specialties and services to determine which referral results are to be documented with which ordered referral.
Resolves through research unknown or questionable areas.
He/she determines referrals completed within the Medical Treatment Facility (MTF) either by using database or MHS GENESIS Composite Health Care System (CHCS).
Completes routine periodic reports to determine percentage of referrals that are being verified or closed correctly and identifies problem areas to provide guidance to specialty staff to correct.
Advises MTF staff on referral tracking procedures.
Contacts the provider/specialty clinic to obtain results or contacts the patient to assist them in receiving their care.
Tracks completion of all referrals (deferred to the network) by maintaining a suspense system.
After the patient attends appointment (defer to network), tracks host nation medical reports, submits them for translation.
Following translation, sends the medical reports to the referring physician and ensures placement of the report in the patient's official medical record.
Applies working knowledge of multiple computer programs including Armed Forces Health Longitudinal Technology Application (AHLTA), Composite Health Care System (CHCS), Referral Management System (RMS), Referral Management System Tracking Reports (RMSTR), and the Microsoft Office suite of products.
Incumbent works with Referral Management staff to contact civilian provider offices to determine if patient was seen and if so, acquires referral results.
Closes referral in MHS GENESIS CHCS Access database and RMS appropriately and forwards information copy to the referring provider.
If patient was not seen in a civilian office, contacts the patient and assists the patient in completing their care.
Provides guidance to the patient on how to receive the care requested in their referral.
Receives patient and/or staff complaints involving the referral tracking system and works to resolve those complaints.
Assists with the Right of First Refusal (ROFR) determinations for specialty care that can be provided within the MTF using Service Availability (Capability) Listings within established guidelines.
Incumbent interacts with provider staff and beneficiaries with adherence to overarching privacy guidelines.
Maintains medical report tracking and retrieval process for the Military Treatment Facility.
Provides information and assistance to beneficiaries regarding the referral and authorization process of new or changing policies, assigned area of responsibility and determines priorities.
Attends meetings and follows up on suspense items to ensure timely reply.
Participates in training as MHS GENESIS CHCS, AHLTA and TIP are upgraded and changed.
Incumbent utilizes office automation equipment, word processing software, and mission specific medical software to compile and type a variety of material including progress reports or memos.
Software utilized will include MHS GENESIS CHCS, DEERS, Managed Care Access database, and Tricare Overseas Program MTF Portal.
Uses various software applications to record, retrieve, correct, merge, query or print data and/or reports.
Maintains files on contact information for civilian medical facilities.
Establishes/maintains suspense files of referrals deferred to network.
Maintains SOPs of all steps and procedures.
Compiles and maintains statistical data for reports to the Command and other internal sources.
NOTE: Tour of duty: 40 hours per week, Monday through Friday from 07.30 to 16.30, including a 1-hour uncompensated lunch break.
Qualifikationsanforderungen MINIMUM QUALIFICATION REQUIREMENTS: Applicants must meet the qualification requirements in the "Qualification Standards" published by U.S Office of Personnel Management, as summarized below.
EXPERIENCE: Applicants must have a minimum of 1 year of Specialized Experience equivalent to at least the U-06 grade level.
Specialized experience is experience that equipped the applicant with the particular knowledge, skills, and abilities to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled.
OR SUBSTITUTION OF EDUCATION FOR EXPERIENCE: Education may be substituted for experience in accordance with the "Qualification Standards" published by U.S Office of Personnel Management.
