Responsibilities:Front Desk Management and Meeting Coordination:
Be the first contact person in Reception to monitor arrivals and departures of staff and visitors. Greet visitors in a professional manner. Answer all phones promptly and in a pleasant and professional manner. Take detailed messages and deliver them without delay to the intended party or assist callers by redirecting them to another available party who can help them. Co-ordinate with back-up admins to ensure that all phones and reception are covered at all times. Assist in processing meeting requests for the team, including setting up appointments, reserving conference rooms, security passes for guests, refreshments, handouts, etc.Office Management Maintenance:
Ensure local office maintenance is taken care of on a daily basis, such as kitchen and coffee machine maintenance, meeting room preparations, public areas, printer rooms, etc.General Secretarial Support:
Provide support to Administrative Assistants with various tasks such as travel assistance and expense reporting to ensure uninterrupted flow of operations with regard to support staff and all office issues. Other general administrative support such as organizing post deliveries and couriers. May be called upon to take on additional responsibilities and/or perform other tasks as assigned.Qualifications:Good working knowledge of, and skill in, the Microsoft Office Suite including Outlook, Word, Outlook Calendar, and Excel.Good organization skills.Excellent phone manner.Fluency in English and Italian is essential.Excellent verbal and written communications skills.Ability to multi-task and adapt to shifting priorities.Strong orientation toward teamwork.Research is dedicated to persons protected by Law 68 of March 12th 1999: placement of people with disabilities and protected categories.Moody's is an equal opportunity employer.
