**Our Role**:
PGIM Headquarter in Milan includes 3 independent asset management divisions: PGIM Investments, PGIM Real Estate, PGIM Private Capital (Pricoa).
**Key Responsibilities**:
- Greeting and assisting all visitors to the office.
- Assist with the management of calendars for the management.
- Schedule and coordinate internal and external meeting logistics including arranging video conference connectivity, international dial in numbers for conference calls, preparing board rooms, meeting materials and other logistics.
- Attend certain internal meetings ensuring meetings notes are typed, circulated and logged as appropriate and requests/comments expressed during meetings or after are being addressed and any further materials sent as requested.
- Office management and interaction with 3rd party suppliers.
- Organize travel arrangements including preparing detailed itineraries.
- Create and proofread documents such as agendas, meeting summaries, meeting minutes, memos and presentations.
- Liaise with the IT department to manage and resolve IT/mobile device issues.
- Management of mail.
- Perform other administrative duties and special projects as assigned
- Storage of the legal and admin documentation related to PGIM Investments, PGIM Real Estate, PGIM Private Capital (Pricoa).
- Partner with HR to update and maintain office policies as necessary
**Your Required Skills**:
- Previous experience in a similar role.
- Experience in the asset management industry desirable but not essential.
- Strong work ethic.
- Excellent communication skills with the ability to maintain close communication with stakeholders including those in the most senior levels within the global organization.
- Strong proficiency using Microsoft Office (Word, Excel and PowerPoint) and Outlook.
- Strong organization skills.
- Excellent judgment and discretion required in handling sensitive and confidential information in a respectful manner.
- Flexible, strong and self-assured personality.
Demonstrates a sense of urgency, speed, and efficiency.
- Able to maintain a high level of productivity and self-direction especially if dealing virtually.
- Excellent command of the English language.
