The individual in this position provides outstanding reception and administrative support, greets all in a cordial and professional manner; provides professional and prompt support to visitor inquiries, manages office flow, informs team members of guests/meeting arrivals.
The Administrative Assistant I will provide support for University Advancement and the Manager, Office of the VP.
The person in this role provides support for building maintenance and serves as a liaison with facilities.
Performs general office services, including ordering/monitoring office supplies; maintaining the organization of supply room, administrative suite, common areas, and visitor collateral materials; and support for projects upon request.
Maintains staff attendance reports, conference room calendar scheduling management.
Duties and Responsibilities: Greet and assist visitors and staff to University Advancement; direct to appropriate parties.
Provide support for special projects at the discretion of the Mgr., Office of VP.
Provide general office management including mail and parcel distribution; shredding schedule; and office equipment repair and maintenance.
Manage office supplies including ordering, payment and organization of supplies/supply rooms; monitor inventory and ensure office supply needs are consistently met.
Ensure building and maintenance requests are submitted and completed.
Maintain staff attendance reports.
Provide assistance with parking requests.
Perform other duties and assist with projects as assigned.
Minimum Qualifications: High School Diploma or equivalent.
1-3 years office/administrative experience.
Individual selected must know how to communicate professionally, pleasantly, and efficiently within a fast-paced environment.
Must be proficient in all standard computer applications, particularly Microsoft Word, Outlook Excel, and PowerPoint.
General knowledge of office principles and office procedures required.
The individual must have a strong customer-service orientation.
The individual selected will have exceptional administrative, organizational, and scheduling skills, ability to manage multiple projects/tasks with varied deadlines, and a friendly, upbeat, and highly professional demeanor.
The person will be a team player with a proven ability to maintain discretion and attention to detail.
The individual must be proactive and able to work independently under general supervision.
Preferred Qualifications: Associate degree or greater.
Experience in higher education setting preferred.
Physical Requirements and/or Unusual Work Hours: Sitting; light lifting of packages, frequent walking or driving across campus.
