The United Nations Humanitarian Response Depot (UNHRD) is a network of strategically located hubs established to support humanitarian organizations and the broader international community in responding to emergencies and crises.
UNHRD provides essential services such as storage, easy access to critical supplies, and technical assistance.
The position holder will work under the supervision of the Head of Administration.THE ROLETo manage the facilities functions within the Brindisi hub, coordinating the effective provision of services and maintaining high standards of accuracy and compliance in all administrative activities, including liaising with military authorities to ensure access to the base.KEY ACCOUNTABILITIES:Oversee the management of office, guesthouse, and training facilities in Brindisi.
Ensure the facilities are maintained to a high standard, providing a safe, clean, and comfortable environment for staff and visitors.Coordinate and manage routine maintenance and repairs for all facilities.
Ensure timely resolution of any facility-related issues and liaise with contractors and service providers as needed to uphold operational standards and minimize disruption.Serve as the first point of contact for internal queries related to facility management from the Brindisi hub.Manage and maintain paper and electronic records related to facility management in accordance with established procedures.
Ensure efficient organization and accessibility of data as required.Provide support and guidance to other UNHRD hubs regarding facility management questions and issues upon request, sharing best practices and ensuring consistent standards across all locations.Support the production of various data related to facility management, compile and prepare reports in order to contribute to the provision of accurate information for informative decision-making and to support the effective and timely management of WFP resources.Support the continuous improvement of facility management services by contributing to the development and enhancement of methods and practices within the area of work.Adapt and update administrative processes related to facility management, supporting the implementation of operating procedures to contribute to the continuous improvement of administration services in the area of responsibility.Answer a range of queries related to the provision of administrative services to support the resolution of daily issues.Coordinate the activities of a team of staff working in the area, to ensure individual and team objectives are met in compliance with all relevant regulations, policies, and procedures, and performance plan.Provide training and guidance to staff in the interpretation of administrative procedures, policies, processes, and use of corporate systems to ensure consistency and efficiency of services provided to all clients.Other duties as required.QUALIFICATIONS AND EXPERIENCE:Education:Completion of secondary school education.
Additional training in administration, facility management, or a related field is desirable.Experience:Minimum 6 years of progressively responsible experience in administration or facility management.
Experience in an international organization is an asset.Language:Proficiency in English and Italian (Level C) is required.
Knowledge of another UN language is an advantage.SPECIFIC ROLE REQUIREMENTSEssentials:Knowledge of practices and procedures for maintaining office, guesthouse, and training facilities, including routine maintenance and emergency repairs.Experience managing a team successfully.Strong organization and coordination skills and record-keeping skills.Excellent communication and interpersonal skills, with the ability to address and resolve issues efficiently.Desirable:Experience in liaising with military authorities and knowledge of security protocols is preferred.Familiarity with corporate systems used in facility management for efficient service delivery is an advantage.TERMS AND CONDITIONSWFP offers a competitive compensation package which will be determined by the contract type and selected candidate's qualifications and experience.

If not residing within commuting distance at the time of application, candidates must be willing to relocate to Brindisi, Italy, at their own cost before taking up the assignment.
